Warranty & Return Policy
This policy applies to all products manufactured and supplied by Xuzhou QD Wood Industry Co., Ltd. (operating as QDPlywood.com) to buyers, distributors, and importers. It sets out the warranty coverage, conditions, and procedures for raising a claim or requesting a return.

Warranty Coverage
We warrant that products supplied under a confirmed purchase order will conform to the agreed specification at the time of shipment. The following defect categories are covered under this warranty.
The warranty period is 12 months from the date of shipment, as evidenced by the bill of lading. Coverage applies to all products supplied under a confirmed purchase order.
Material Defects
Delamination, core voids, or bonding failures not caused by improper storage, handling, or use.
Dimensional Non-Conformance
Thickness, length, or width outside the tolerance stated in the purchase order.
Standard thickness tolerance: ±0.2mmSurface Defects
Face veneer or film defects that were present at the time of shipment and not caused by transit damage or post-delivery handling.
Formaldehyde Emission Non-Conformance
Products certified to CARB P2, E1, or E0 standards that fail to meet the stated emission limit on independent testing.
What the Warranty Does Not Cover
The following conditions and circumstances are excluded from warranty coverage. Review these carefully before submitting a claim.
Improper Storage
Damage caused by improper storage — including exposure to moisture, direct sunlight, or unventilated conditions.
Improper Handling
Damage caused by improper handling during unloading, transport from port, or on-site movement.
Moisture-Related Dimensional Changes
Dimensional changes resulting from moisture absorption or drying after delivery, where the product was stored outside recommended conditions.
Natural Wood Variation
Normal variation in natural wood grain, color, and texture within the accepted grade specification.
Post-Delivery Modification
Defects in products that have been cut, processed, painted, laminated, or otherwise modified after delivery.
Out-of-Specification Application
Products used in applications outside the specification stated in the purchase order.
Third-Party Inspection Damage
Damage caused by third-party inspection, testing, or sampling that was not conducted in accordance with agreed procedures.
Claims After Warranty Period
Claims submitted after the 12-month warranty period from the date of shipment.
Important: If you are unsure whether your situation falls within or outside warranty coverage, contact our team before processing or modifying the affected goods. Post-delivery modification will void coverage regardless of the underlying defect.
Return Policy
Returns are accepted only for products that fall within the warranty coverage described above. The following categories are explicitly excluded from return eligibility:
- Products ordered to a confirmed specification that the buyer later decides not to use
- Overstocked inventory
- Products that have been partially used, cut, or processed
Return Authorization Required
Return authorization is required before any goods are shipped back. Unauthorized returns will not be accepted and will be returned to the sender at their cost.
How to Initiate a Return

Return Freight Responsibility
Return freight costs are the responsibility of the buyer unless the return is the result of a confirmed manufacturing defect or shipment error on our part, in which case we will arrange and cover the return freight.
Claims Procedure

Purchase Order & Invoice
Purchase order number and invoice number for the affected shipment.
Product Description
Species, thickness, grade, and quantity affected by the defect or issue.
Description of the Defect
What was observed, when it was discovered, and under what conditions the defect became apparent.
Photographic Evidence
Clear photos of the defect, including close-up shots and wider shots showing the extent of the issue across the batch.
Batch or Production Markings
Bundle labels, packing list references, or any production batch numbers visible on the packaging.
Storage & Handling Conditions
A brief description of how the product was stored and handled from delivery to the point the defect was discovered.
Response & Resolution Timeline
We will acknowledge receipt of your claim within 3 business days.
Full investigation and resolution — including any offer of replacement, credit, or refund — communicated within 15 business days of receiving complete documentation.
Claims requiring third-party inspection may take longer. We will notify you proactively if additional time is needed.

Remedies
Where a warranty claim is confirmed, we will offer one of the following remedies at our discretion, taking into account the nature and extent of the defect.
Replacement
Replacement panels of the same specification shipped at our cost. This is the preferred remedy where the defect affects a clearly defined batch and re-supply is practical within your project timeline.
Credit Note
A credit applied against a future order, valued at the affected product's invoice price. Suitable where replacement lead time is not compatible with your schedule and you intend to reorder.
Partial Refund
A refund for the affected portion of the order, where replacement or credit is not practical. Applied to the invoice value of confirmed defective units only.
Consequential Loss Exclusion
We do not cover consequential losses, including but not limited to: project delays, labor costs, downstream customer claims, or lost profits arising from a product defect. Remedies are limited to the direct value of the affected goods as invoiced.
Third-Party Inspection
Buyers who require independent pre-shipment inspection may arrange this through their preferred agency. We cooperate fully and provide complete access to production documentation.
Arranging Pre-Shipment Inspection
Buyers may arrange independent pre-shipment inspection through their preferred agency. Commonly used agencies include SGS, Bureau Veritas, or similar internationally recognized inspection bodies. Inspection costs are borne by the buyer unless otherwise agreed in writing.
Effect on Subsequent Claims
Where a pre-shipment inspection has been conducted and the goods were accepted, subsequent claims for defects that would have been detectable at the time of inspection will be assessed in light of the inspection findings. Acceptance by a third-party inspector does not void warranty coverage for latent defects that were not reasonably detectable at the time of inspection.

We cooperate fully with third-party inspectors and provide access to production records, batch documentation, and test reports as part of the claims process. Inspection access requests should be coordinated with your account manager at least 5 business days before the planned inspection date.
Governing Terms
This warranty and return policy is governed by the laws of the People's Republic of China. Any disputes arising from warranty claims that cannot be resolved through direct negotiation will be referred to the competent courts or arbitration body in Xuzhou, Jiangsu Province, China, unless otherwise agreed in writing in the purchase contract.
Contract Terms Take Precedence
Where a formal purchase agreement or sales contract between the buyer and Xuzhou QD Wood Industry Co., Ltd. contains warranty or return terms that differ from this policy, the terms of the signed contract take precedence.
